Job Summary:
We are looking for an Operations Assistant who thrives on organization and attention to detail, ensuring all processes and documentation run seamlessly. Key Responsibilities:
- Administrative support: Provide support for ongoing projects by organizing files, managing electronic archives, and keeping the document database up to date.
- Documentation and reporting: Draft documents and reports for the project team, ensuring all records are accurate and accessible.
- Office administration: Maintain and organize the office environment, order office supplies, coordinate with vendors, and ensure equipment and facilities are functional.
- Financial, Procurement and HR support: Handle basic financial tasks, such as processing invoices and payments, and support HR processes like collecting timesheets, vacation requests, and payroll coordination.
- Events support: Assist in planning and executing events, including logistical support, supplier communication, and participant coordination.
- Team collaboration: Maintain and update collaboration platforms (Google Drive, Slack, Miro) and provide general assistance to ensure smooth project operations.
- Platform administration support: Assist with the administration and maintenance of the Jobs4ukr.com platform, including troubleshooting issues, and ensuring the platform is up to date with job listings and other resources.
- Job and employers vetting: Cross-check employers and job postings to meet safety and quality standards.
Skills and Qualifications:
- Bachelor’s degree in Business Administration, Operations Management, or a related field.
- 2-4 years of experience in an administrative, office management, or back-office role; corporate experience is an advantage.
- Excellent command of Romanian and English is mandatory.
- Proficiency in Excel and other productivity tools.
- You are highly organized, a strong communicator, a team player, and attentive to details.
- Familiarity with nonprofit operations or vocational training/economic development is preferred.
